Subscription and Billing

Free Trial

All new accounts begin on a Free Trial plan. This provides you with 14 days to try Workflow86. The remaining time you have on your trial account will be displayed on the home page and at the top of the screen when you log in.

Once the trial ends, you will not have any actions in your quota meaning you will not be able to start any new workflows, and any workflows in progress may be paused due to insufficient actions.

Subscribing to a paid plan for the first time

To subscribe to a paid plan from the free trial, navigate to the Subscriptions page.

Here you will find the options you can set to select a plan appropriate for your requirements.

Set monthly or yearly billing

You can set whether you want a monthly subscription or an annual subscription. The annual subscription will include a discount when compared to the same price for the monthly plan across a 12 month period.

Set number of Administrator/Editors and End Users

All plans come with 2 Administrator/Editor seats and 10 End User seats included. Additional Administrator/Editor seats and End User seats will add an additional amount to your subscription.

Set the base plan level

The base plan primarily determines the usage quotas you have for each month, spanning across actions, file upload space and number of database records.

Changing your subscription and/or changing the number of licenses

Only Administrator users can change subscriptions or billing

You must be an Administrator user in order to access the Organization Settings page and make any changes to your current subscription, billing details or plan.

To change your subscription and/or change the number of licenses you currently have, click “Edit Subscription”. You will be brought to the subscription selection page:

From here, you adjust the number of licenses/seats you have by increasing or decreasing the number of licenses here

You cannot have less than 2 Admins and 10 End Users

You cannot have less than 2 Administrator licenses and 10 End User licenses on any plan.

Increasing your number of user seats

To increase your number of user seats, type in the desired number of seats in total you now require before clicking "Select" on your current base plan. Additional seats will be immediately applied once the transaction has been processed.

Decreasing your number of user seats

If you decrease the number of user seats you have, you will need to manually reassign or disable users to that number before the next billing cycle.

The decreased number of user seats is applied ay the start of the next billing cycle. This means you still have access to the current number of user seats until that time. If at the next billing cycle you have more users assigned that you have licenses available, excess user accounts may be automatically disabled based.

Changing your plan tier

You can also change your plan by clicking the "Select" button for the plan you would like to change to:

Upgrade your plan

Upgrading your plan to a higher tier will be immediately applied once the transaction has been processed.

Downgrade your plan

You can downgrade your plan by selecting the lower plan you would like to change to, and clicking "Select". Any downgrades to a lower plan in the middle of a billing cycle will be applied at the start of the next billing cycle. Until the start of the next billing cycle, your subscription will remain the same.

Cancel a downgrade before it is applied

You can cancel a scheduled downgrade or decrease in user seats change at any time before the next billing date by clicking “Cancel Change”. This will cancel all changes i.e. any changes to your subscription and any increase or decrease in licenses.

You may need to change your number of licenses/seats before switching plans

If you want to both change the number of seats in your plan and the number of licenses, you will need to make the change to the number of seats first under your current plan, and then make the change to the plan after this is complete.

Changing your billing frequency (monthly/annual)

Your subscription can be billed on a monthly or an annual basis. To view monthly and annual plans, click the switch here:

Annual plans provide additional savings compared to monthly plans. You can see how much you will save when on the annual plan view:

Confirming your change and purchase

Once you have configured and selected the change you wish to make, you will see a dialog to confirm your new order. Review your order and ensure that everything is correct. This dialog will display the new total cost which will apply at the next billing cycle, as well as any cost to be paid now for any additional licenses. This amount to be paid now is the cost of the additional licenses pro-rated for the remaining time until the next billing cycle.

Once you have confirmed your order you will see your subscription details updated accordingly in your organization settings.

Changes to your licenses or plans will update pricing

Any change made to the number of licenses you currently have, or change from your current plan to another plan will be made according to the most up to date pricing at the time of this change. This means if you are upgrading or downgrading a plan, you will be upgrading or downgrading to the pricing at the time of the change, which may be different from the pricing you saw at the time you originally purchased your current subscription or plan.

Change your billing details

To change your billing details such as the card you are using for purchases or your billing address, click “edit”. A page where you can view and change your billing details will open in a new tab.
